Position Overview
We are currently seeking an Invoicing Assistant Accountant based in Athens. This role is vital in supporting our invoicing process by ensuring accurate and timely billing of clients, maintaining financial records, and assisting with various accounting tasks. The ideal candidate will possess strong organizational skills, keen attention to detail, and the ability to thrive in a fast-paced environment. Previous experience in accounting, particularly in invoicing or billing, and a basic understanding of the marine logistics industry are preferred.
Key Responsibilities
- Assist in preparing and generating customer invoices based on completed services and contracts.
- Ensure the accuracy of all invoices by verifying charges, rates, and applicable taxes or fees.
- Coordinate with operations teams to gather necessary billing information.
- Enter invoice data into the accounting/operations system, ensuring accuracy and completeness.
- Send invoices to customers via email or other preferred methods.
- Track the status of invoices and ensure timely delivery to clients.
- Maintain organized records of all issued invoices and assist in maintaining accurate financial records for audits.
- Review and resolve any discrepancies or issues related to invoicing.
- Communicate with customers to clarify invoice details or resolve billing inquiries.
- Assist in generating regular invoicing reports and provide input on invoicing trends.
- Ensure compliance with company policies, industry regulations, and accounting standards.
Requirements
- Fluency in English (written and spoken).
- Bachelor’s degree in Economics or Business Administration.
- 1-2 years of experience in accounting or invoicing, preferably within the logistics or marine industry.
- Proficient in Microsoft Office (particularly Excel), familiarity with accounting software is a plus.
- Strong communication and interpersonal skills.
- Ability to work under pressure, prioritize tasks, and multitask effectively.
- Excellent organizational skills and a willingness to learn and adapt to new processes and systems.
